Privacy Policy

How connexU collects, uses, and protects your personal information.

connexU Pty Ltd (ABN 51 647 288 917) runs business events in Australia, along with the websites and online tools that go with them. We are an Australian company and the Privacy Act 1988 applies to us.

This policy covers our websites, our events, and the online portals we run for exhibitors and partners. It explains what personal information we hold, why we hold it, and what you can do about it.

What we collect

What you give us. When you fill in a form on one of our sites, we collect your name, work email address, phone number, employer and job title, and whatever you write in the message box. If you email us, we keep the email.

When you register for an event. Registration is handled by a specialist event registration provider. Through them we receive your name, contact details, employer, job title, the type of ticket you hold, and whether you attended. If the registration form asks anything else, that comes to us as well.

At the event. We scan your badge when you arrive so we know you have checked in.

If you exhibit or sponsor. We collect the contact and billing details we need to invoice you and get you on site, including your ABN and the names of the people on your stand.

From other sources. We use business data providers to find and check work contact details for people in the industries our events serve. This is standard business-to-business practice and it is how a lot of our contact list is kept current.

Automatically, when you visit our sites. Your IP address, your browser and device, which pages you looked at, and the site that sent you to us.

We do not ask for health information, dietary requirements, or anything about your background or beliefs. If you ever need to tell us something like that so we can help you at an event, we use it for that and nothing else.

How we collect it

Mostly directly from you, through our forms, by email, or in person at an event. Some of it comes from our event registration provider, and some from business data providers.

Why we use it

  • To run our events and get you registered, badged and on site
  • To answer your enquiry
  • To look after exhibitors, sponsors and partners, including invoicing
  • To send you updates about our events, if you have asked for them
  • To keep our sites working and to keep out spam and fraud
  • To understand what people are interested in, so we run better events
  • To meet our legal and tax obligations

We do not sell your personal information.

Who we share it with

We share personal information with the companies that provide the systems we run the business on. These fall into a few groups:

  • A customer relationship management system, which holds our contact records
  • Event registration and event app providers, which handle registrations, badges and networking
  • Payment gateways and accounting software, for invoicing and payments
  • Email, hosting, storage and website providers
  • Business data providers, which help us keep contact details current
  • Analytics tools, which tell us how our sites are used

Each of these is bound to use the information only to do the job we have asked them to do.

We also share information where we have to: with a venue or contractor who needs it to run the event, with our professional advisers, and where the law requires it. If the business is ever sold, contact records would go with it.

Exhibitors and sponsors. Your contact details go to an exhibitor when you agree to share them, when you let them scan your badge, or when you accept a meeting. You can turn sharing off in the event app at any time.

Where your information goes

Our own systems are hosted in Australia.

Several of the providers listed above are based overseas, so some information is stored or handled outside Australia. The main countries are the United States, the United Kingdom and countries in the European Union. We take reasonable steps to make sure providers handle your information to the standard the Privacy Act requires.

Automated processing

Some of our systems handle information without a person looking at every record.

The information involved is your contact details, the messages you send us, and your registration and event activity.

Handled automatically, on their own, our systems sort and route incoming messages, act on requests to unsubscribe, flag suspected spam, and record when you have checked in at an event.

We do not use automated systems to decide whether you can attend an event, whether we will do business with you, or whether you get access to anything. Decisions like that are made by people.

How long we keep it, and how to change it

We keep contact and event records for as long as we are running events in your industry, because the same organisations come back year after year. Accounting and tax records we keep for seven years, because we have to. We do not delete contact records on a fixed timetable.

You can ask us at any time to:

  • Tell you what we hold about you
  • Correct anything that is wrong
  • Stop sending you marketing
  • Delete your details

Email hello@connexu.com.au and we will come back to you within 30 days. We will do what you ask unless the law says we have to keep something, and if that happens we will tell you why.

Every marketing email we send has an unsubscribe link. You can also just reply and ask.

Cookies, complaints and contact

Cookies. Our sites use a small number of cookies to work properly. We ask your permission before loading anything from a third party, such as analytics or an embedded map. We do not run advertising or retargeting trackers on our sites.

Photography. We take photographs and video at our events and use them in our marketing. If you would rather not appear, tell a member of our team on the day.

Security. We protect your information with access controls, encrypted connections and backups. No system is perfect, and if something goes wrong that puts you at serious risk, we will tell you and we will tell the Office of the Australian Information Commissioner.

Complaints. If you are unhappy with how we have handled your information, email hello@connexu.com.au. We will look into it and reply within 30 days. If you are not satisfied with our answer, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Children. Our websites and events are for people at work. They are not intended for children.

Changes. We update this policy when the way we work changes. The date at the top tells you when it last changed.
